FairPlay Coach is a web application operated by Infinaeon AI Media Group Limited, a company registered in England and Wales (Company No. 16457097). The app was designed and built by leadmachinePro.co.uk, a trading brand of Infinaeon AI Media Group Limited. This Privacy Policy explains how we collect, use, store and protect your personal data when you use our service at fairplaycoach.co.uk.

We process your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What data we collect

We collect the following categories of personal data:

• Account data: Your email address and a securely hashed version of your password, collected when you create an account.
• Team and match data: Team names, player names (which you enter), match results, rotation records, and season statistics. This data is stored on your behalf so you can access it across devices.
• Feedback data: If you submit feedback through the app, we collect your name, email address, and the content of your message.
• Usage data: Standard server logs, including IP addresses and request timestamps, retained for up to 30 days for security and diagnostic purposes only.

We do not collect payment information, location data, or any data from children (our app is aimed at coaches who are adults).

3. How we use your data

We use your data for the following purposes, and the legal basis for each:

• To provide the service (contract performance): authenticating your account, storing and returning your team and match data.
• To communicate with you (legitimate interests / consent): sending transactional emails such as account confirmation, password reset links, and responses to feedback you have submitted.
• To improve the product (legitimate interests): reviewing feedback you voluntarily submit to understand how to make the app better.
• To maintain security (legitimate interests): monitoring server logs for abuse, fraud or technical issues.

We do not use your data for advertising, profiling, or automated decision-making that produces legal or similarly significant effects.

4. Who we share data with

We share your data only with the following trusted sub-processors, under appropriate data processing agreements:

• Resend (resend.com) — used to deliver transactional emails (welcome, password reset, feedback confirmation). Resend processes your email address for this purpose only.
• Replit (replit.com) — our cloud infrastructure provider, which hosts the application and database on servers located in the United States. Transfers are covered by appropriate safeguards under UK GDPR.

We do not sell, rent, or trade your personal data with any third parties for marketing purposes.

5. How long we keep your data

• Account and match data: Retained for as long as your account is active. If you ask us to delete your account, we will delete all associated data within 30 days.
• Feedback messages: Retained for up to 2 years to help us track product improvements, then deleted.
• Server logs: Retained for up to 30 days, then automatically deleted.

6. Your rights under UK GDPR

You have the following rights regarding your personal data:

• Right of access: You can request a copy of the personal data we hold about you.
• Right to rectification: You can ask us to correct inaccurate data.
• Right to erasure ("right to be forgotten"): You can ask us to delete your personal data.
• Right to restriction: You can ask us to restrict how we use your data while a complaint is resolved.
• Right to data portability: You can request your data in a machine-readable format.
• Right to object: You can object to processing based on legitimate interests.
• Right not to be subject to automated decisions: We do not make automated decisions about you.

7. Security

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, disclosure, alteration or destruction. Passwords are stored using bcrypt hashing and are never stored in plain text. All data is transmitted over HTTPS.

8. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify registered users by email. The "last updated" date at the top of this page will always reflect the most recent version.

1. Acceptance of terms

By accessing or using FairPlay Coach, you agree to be bound by these Terms. If you do not agree, please do not use the service.

2. Description of service

FairPlay Coach is a free web application designed to help youth football coaches generate fair player rotations, manage teams, and track match statistics. The service is provided "as is" and is subject to change or withdrawal at any time.

3. Account registration

You may use basic features without an account. To access features such as cloud-saved teams and match history, you must register an account with a valid email address. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.

4. Acceptable use

You agree not to:

• Use the service for any unlawful purpose or in violation of any applicable laws or regulations.
• Attempt to gain unauthorised access to any part of the service or its underlying systems.
• Upload or transmit any malicious code, viruses, or harmful content.
• Harvest, scrape, or systematically extract data from the service without our express written permission.
• Impersonate any person or entity or misrepresent your affiliation with any person or entity.

5. Intellectual property

All content, design, code, and materials within FairPlay Coach (excluding content you enter, such as player names) are the intellectual property of Infinaeon AI Media Group Limited. The application was designed and developed by leadmachinePro.co.uk, a trading brand of Infinaeon AI Media Group Limited. You may not reproduce, distribute, or create derivative works without our prior written consent.

6. User content

You retain ownership of any content you input into the service (such as player names and match data). By using the service, you grant us a limited licence to store and process that content solely for the purpose of providing the service to you.

7. Disclaimer of warranties

FairPlay Coach is provided on an "as is" and "as available" basis without warranties of any kind, either express or implied, including but not limited to fitness for a particular purpose or uninterrupted availability. We do not warrant that the service will be error-free or that any defects will be corrected.

8. Limitation of liability

To the fullest extent permitted by applicable law, Infinaeon AI Media Group Limited shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the service. Our total liability to you for any claims arising under these Terms shall not exceed £100.

Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or fraudulent misrepresentation, or any liability that cannot be excluded or limited under English law.

9. Third-party links and services

The service may contain links to third-party websites or services. We are not responsible for the content, privacy practices, or terms of those third parties.

10. Governing law and jurisdiction

These Terms are governed by the laws of England and Wales. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

11. Changes to these terms

We reserve the right to modify these Terms at any time. Material changes will be notified to registered users by email. Continued use of the service after changes take effect constitutes acceptance of the revised Terms.

Cookie Policy

What cookies we use

FairPlay Coach uses a minimal set of cookies that are strictly necessary to operate the service:

• fp_token — a session cookie used to keep you logged in to your account. This cookie is HTTP-only and expires after 30 days of inactivity. It does not track you across other websites.

We also use browser local storage and session storage to save your match data and app preferences locally on your device. This data never leaves your device unless you are logged in, in which case it is also saved to our servers (see the Privacy Policy above).

What we do not use

We do not use:

• Advertising or tracking cookies
• Analytics cookies (e.g. Google Analytics)
• Third-party social media cookies

Because we only use strictly necessary cookies, we are not required to obtain your consent for cookies under the UK PECR rules. However, you can clear all cookies and local storage at any time through your browser settings.
